Summary:

Feral Cat Spay/Neuter Project is currently seeking a Clinic Administrative Assistant. This position assists in clinic operations and supports FCSNP by providing the general public with assistance in all aspects of client care and service. This includes, but is not limited to, client check in, medical record entry, answering general inquiries via phone, email and other forms of communication, client discharge and check out, and handling of clinic income. The Clinic Administrative Assistant will be expected to cross train in, and maintain the ability to temporarily fill, various clinic staff and volunteer roles in order to best support the function of the clinic. The Clinic Administrative Assistant must be an excellent communicator and possess the necessary attributes to provide volunteer and client education while maintaining a calm and respectful demeanor. This position requires teaching, explanation, and volunteer oversight.


Primary Duties:

● Schedule client appointments, answer general inquiries and provide client support via phone/email/other forms of communication in a timely, efficient and effective manner.
● Perform intake and discharge processes for all FCSNP clients and patients, including overseeing lobby management, as defined by FCSNP standard operating procedures and policies.
● Provide clients with excellent customer service and support, on a high volume basis, via phone, email, in person and other possible forms of communication.
● Enter client and patient records and other data entry tasks with a high level of accuracy and efficiency.
● Accept clinic income, payments from the public, monetary and in-kind donations while maintaining proper income handling protocols and procedures.
● Ensure daily cash till and clinic income are properly reconciled and balanced.
● Attend all staff, individual and team meetings as presence is requested.
● Coordinate and train volunteers assigned to tasks relating to client care and services, as assigned.
● Provide administrative support, including but not limited to, making phone calls relating to situations or patients that may arise, greeting and assisting general public visitors, and other tasks as needed, for clinic throughout the day.
● Be knowledgeable and cross-trained in all relevant clinic operations, protocols and procedures, as appropriate with level of licensing.
● Other tasks as assigned by the Clinic Manager.

Required abilities/attributes:
● Ability to begin work as early as 6:45am.
● Willing to work flexible hours including weekends and holidays.
● Willing and able to travel to and work at satellite clinics in remote locations as required.
● Sensitivity to people of different cultures and socioeconomic backgrounds
● Ability to self-direct when necessary and work as a collaborative team player.
● Ability to work on multiple tasks with interruptions in an energetic environment with the pressure of periodic heavy workloads.
● Exceptional organizational skills and high attention to detail.
● Ability to anticipate and identify problems and needs and solve them and/or communicate them appropriately.
● Provide fantastic customer service and build successful relationships with internal and external customers and volunteers.
● Ability to react calmly and effectively in high intensity situations.
● Ability to clearly and respectfully communicate complex processes/concepts to a wide variety of people, both in written and verbal form.
● Ability to communicate effectively. The Clinic Admin Assistant must possess the necessary attributes to provide successful volunteer and client education while maintaining a calm and respectful demeanor.
● Ability to work well and maintain a positive, inclusive attitude as part of a team in the face of challenge, change, and adversity.

Required/Preferred Qualifications:

● Proficient in use of computers and common business software programs including Microsoft Word and Excel, Google Docs, Sheets, Drive and Calendar.
● General familiarity with and ability to learn database management software.
● 1+ years experience in a clinical setting, providing client care and customer service, and performing veterinary assistant duties for veterinarians and technicians.
● General knowledge of feral cats and the complications associated with trap-neuter-return.
● Successful oversight of volunteers preferred.
● Successful customer service experience.
● Must be able to stand for extended periods of time.
● Ability to read, write, and communicate specific medical information in English.
● Must be able to lift 40 lbs.
● Must be at least 18 years of age.
● Must possess a WA state driver’s license.
● Pass a criminal background check.
