Title: Office Administrator
Reports to: the Minister
FLSA Status: Non-exempt
Hours: 18 hours/week (.45 FTE)
Pay rate: $15/hr

POSITION PURPOSE


Performs a variety of standard administrative tasks as directed by the Minister. Responsible for providing general support functions for the church office, including support for the Minister, coordination of technology support, scheduling of meetings, and preparation of documents and communications. Serves as first point of contact for office visitors and e-mail or telephone contacts, referring requests appropriately.

Volunteer Support: Recruits volunteers from within the congregation to help with office tasks. Clearly communicates expectations, encouragement, and support and manages accountability for results.

ESSENTIAL JOB FUNCTIONS

Program Support: Provides administrative and clerical support for church staff, the Board Of Trustees, committees, teams, task forces, congregational meetings, and other projects. For instance:
- Producing and distributing weekly Order of Service and other materials needed on Sunday
- Participating in staff or other meetings as scheduled
- Updating Worship calendar
- Producing database reports by category as needed
- Working with Board officers to produce and update Board member notebooks
- Communicating with Director of Religious Exploration and supporting their activities as needed

Volunteer Support: Supports the integration of visitors, members, and friends into the life of the congregation by, for instance:
- Maintaining and managing databases (such as Members and Friends; attendance records for adult and child) for the use of staff and lay leadership
- Sharing information with Membership Chair

Resource Management: Maintains inventory of office supplies within assigned budget guidance. For instance:
- Assisting with scheduling for weddings, memorials, and special events
- Supervising Custodian
- Recording weekly financial transactions in donation database
- Preparing and sending periodic donation reports
- Providing assistance to the EUUF Treasurer and Bookkeeper, as needed
- Maintaining functioning office equipment, building keys and access
- Monitoring and ordering supplies for office, staff, and lay leadership as requested
- Monitoring condition of EUUF building and parking lot, and contacting volunteers to address issues
- Managing building activities (rentals and volunteer)
- Coordinating scheduling of rooms for EUUF including events, classes, renters
- Sending annual Letter of Agreement forms and tracking rental payments
- Creating and revising systems and procedures to document operational practices such as record keeping systems, forms, and miscellaneous office procedures.

Communication: Prepares reports and recommendations as directed by the Minister. Coordinates production of church communications, working collaboratively with program staff and volunteers. For instance:
- Responding to phone and email requests
- Producing weekly email announcing principle upcoming activities
- Updating and maintaining website
- Maintaining accurate church schedule and calendar
- Distributing and tracking vouchers to people in need who present at the office door

POSITION REQUIREMENTS

General Skills & Knowledge

- Acceptance of the pluralistic theologies of the congregation
- Self-motivated and organized, able to work alone
- Ability to relate affably with staff, members, and general public
- Ability to maintain confidentiality
- Willingness to learn about Unitarian Universalism
- Willingness to participate in professional development activities and training opportunities

Software Familiarity
- Attain basic familiarity with the following software within the first 2 weeks
-- Microsoft Word - Must be proficient
-- Microsoft Spreadsheet - basic use, no formulas needed
-- Google Drive - basic understanding of how G-drive works
-- Constant Contact - uploading files, images, links to documents
-- Icon - database for membership lists, donations
-- Localendar or other web-based calendar - maintaining all calendar info
-- Wix - web-based website management - basic skills of adding text, links, uploading files
- After attaining the basic familiarity with software, continue to improve proficiency in conversation with supervisor

Experience
- Two years of general office management preferred, preferably in a religious or non-profit organization
